Steps for Processing Exchanges in the Register
Why do I need to do two separate transactions to process an exchange? While you technically can put the return items and the items the customer is exchanging for in the same transaction, if you do so, your profit margins will be adversely affected on your reports. This is the reason that big retailers like WalMart do the return transaction separately from the new purchase.
- Go to the Register, you can click the Register icon in the upper left of the blue Admin Toolbar.
- If you have a receipt from the Rain system for the original purchase, scan it in, OR, go to the customer's History and open the transaction (load customer, click on the customer's name, click on the History tab, find the transaction and click on its ID), OR go to Reports > End of Day and search for the date of the transaction, then click on the transaction ID. The transaction will load into the Register, showing items eligible for return on the right.
- Click on all items being returned, you will see them load into the Register as line items with negative quantities.
- For any items that you cannot restock, click the blue pencil on the right of the line item and un-check the Restock checkbox.
- Adjust quantities according to the actual quantities of each item being returned, then click the green Refund button in the lower right.
- Complete the Return transaction and print out a receipt for the customer.
- In a new transaction, after you add the Customer, you can add items being purchased / exchanged.
- Complete your transaction in the normal way.
Alternative Method for Transactions That Didn't Process Through the Rain Point of Sale (Legacy Exchanges)
- Go to the Register, you can click the Register icon in the upper left of the blue Admin Toolbar.
- After adding the Customer to the Register, Search for the item(s) being returned and add them to the transaction.
- Give the return item(s) a negative Quantity.
- Click the green Refund button in the lower right and return the funds.
- Complete the Return transaction and print out a receipt for the customer.
- In a new transaction, after you add the Customer, you can add items being purchased / exchanged.
- Complete your transaction in the normal way.
