Understanding Data About Your Inventory
The Rain system has versatile reports for working with your inventory data. These include the Inventory Value, Ordered Inventory, Low Inventory, and your Serialized Inventory reports.
You can get to this part of the system by clicking Reports in the blue Admin Toolbar, then clicking on the specific report you need.
The Inventory Value Report
Your Inventory Value Report is one we recommend you work with once a month, at the least. With this report, you do not configure a Date or Date Range; when you run it, it will calculate the current value of the Locations, Departments, and/or Vendors you have set in your Filters. Click the Run Report button to have the system show you your current inventory value. In the summary, you will see the Value (the total Cost of what you paid for the inventory), the total Retail Value, and the Quantity of total items you have in stock. All of this is broken down for you in line items for each Department in your results.
We also added the ability to run year-end reports for recent years, as needed. Use the drop-list in front of the Yearly Report download button to choose the year you want, then click the button to download the export. We plan to add the ability to do monthly downloads the same way in the future, but for now, please continue to manually run your monthly report and download the Export as described below.
You can Print or Export your results, as you like. The printed output will show the Department view that you see above, but the Export will have the Summary as well as line items for each of your products, with full information about each item's Cost and Retail Price and Quantity in stock. This output can help you identify any items that still need to have Cost values entered for them, if you're missing any. It is very important that all of your items have Cost values in place since this report can then be used to report your inventory value to your various tax authorities. We recommend running your Inventory Value Report and saving the Exported file once monthly, since you will not be able to look historically at your inventory value.
The Ordered Inventory Report
To view any items you currently have ordered through our Purchase Order / Receiving Order system, you can use our Ordered Inventory Report. This is another report that does not require a Date or Date Range; you will see all items currently on order. If you are not using our Purchase Order / Receiving Order system, this report will not be of use to you. You can Sort the report by clicking on any of the column headers, and you can access the Purchase Order for any item in the list by clicking on the Purchase Order Number. You can also see how many of each item are on the way, as well as the Status, whether they have been Sent or are on Backorder. Received items will not show up in this report. You can Print or Export this report as needed.
The Low Inventory Report
Your Low Inventory Report will show you the current state of your inventory, and cannot be generated for historical data, so you will not see the Date field. Items are considered Low Inventory if they are Out of Stock or if they have inventory values entered for their Reorder Points and the current In Stock quantity is equal to or less than that Reorder Point.
In the example below, the Nike product in the top line item has 10 in stock and its Reorder Point is 10, so it is showing up as Low Inventory. The Alps tent in the second line has 3 in stock and its Reorder Point is 6, so it is also Low Inventory. You can Print or Export your filtered results as needed.
The Serialized Inventory Report
To view the serialized inventory you currently have in stock, you can open the Serialized Inventory Report. As with the other inventory reports, it will show current status, so you don't have a Date field. Each individual serialized item will have a line-item entry in the report, and you can Filter as needed or search for a specific keyword to narrow your results. Clicking the product Title will open it in a side panel, where you can access all details and edit as needed. You can also Print your results.
